ICAN IT LTD (“we”, “us”, “our”) operates the website www.icangroup.co.uk (the “Website”). We are committed to protecting your personal data and being transparent about how we use it.
This policy explains what personal data we collect, why we collect it, the legal bases we rely on, how long we keep it, who we share it with, and the rights you have. It applies to personal data we collect through the Website. It should be read alongside our Terms and Conditions and our Cookie settings.
1. Who we are (data controller)
ICAN IT LTD is the “controller” of your personal data, which means we decide how and why it is processed.
- Company name: ICAN IT LTD
- Registered company number: 09797226
- Registered address: 565 Green Lanes, Haringey, London, England, N8 0RL
- Contact for privacy queries: privacy@icangroup.co.uk

2. The personal data we collect
Information collected automatically when you visit
- Technical and usage data: browser type, language preference, referring site, pages viewed, and the date and time of each request.
- Internet Protocol (IP) address.
- Cookie and similar-technology data (see Section 6).
Information you give us
- When you use the contact form to make an enquiry: your name, email address, and the content of your message. We keep this only for 12 months and use it only for the purposes you mention in your message.
- Any other information you choose to send us, for example by email.
We do not intentionally collect special category data (such as health, ethnicity, or political opinions) through the Website. Please do not send us such information unless we specifically ask for it.
3. How we use your data and our legal bases
Under UK data protection law we must have a lawful basis for each use of your personal data. The table below sets these out.
| What we do | Data used | Lawful basis |
|---|---|---|
| Operate, maintain and secure the Website | Technical, usage, IP data | Legitimate interests (running and protecting our site); ensuring the security of our network and systems |
| Understand how visitors use the site and improve it (analytics) | Usage data, cookie data | Legitimate interests, and/or your consent where cookies require it |
| Respond to enquiries made through the contact form or by email | Contact details, message content | Legitimate interests, and/or taking steps at your request before entering into a contract |
| Send marketing communications (where relevant) | Contact details | Your consent (which you can withdraw at any time) |
| Serve and measure advertising, including remarketing | Cookie and device data | Your consent |
| Comply with legal and regulatory obligations | As required | Legal obligation |
Where we rely on legitimate interests, we have considered whether those interests are overridden by your rights, and we will provide more detail on request. Where we rely on consent, you can withdraw it at any time without affecting processing already carried out.
4. Marketing communications
We will only send you marketing by electronic means where you have consented, or where the law otherwise permits (for example, to existing customers about similar services, on a “soft opt-in” basis). Every marketing message will include an easy way to opt out, and you can also contact us at privacy@icangroup.co.uk to unsubscribe at any time.
5. Who we share your data with
We do not sell your personal data. We share it only with:
- Service providers (“processors”) who help us run the Website and business, for example our website hosting provider, email provider, and analytics/advertising providers such as Google. These providers act on our instructions and under a contract that requires them to protect your data.
- Professional advisers, regulators, or authorities where we are required to do so by law, or to establish, exercise, or defend legal claims.
Our key processor is Google (including for hosting infrastructure and, where you consent, analytics and advertising).
6. Cookies and similar technologies
A cookie is a small file stored on your device that lets the Website recognise your browser. We use cookies to make the site work, to understand how it is used, to remember your preferences, and — where you consent — for advertising.
Your control. When you first visit, you will be asked to accept or reject non-essential cookies through our cookie banner, and you can change your choice at any time via the link in our website footer, available on every page. We do not treat continued browsing as consent.
We group cookies as follows:
- Strictly necessary cookies — required for the site to function (for example, security and load balancing). These do not require consent.
- Functionality/preference cookies — remember choices such as language or display settings.
- Analytics/statistics cookies — help us understand how the site is used so we can improve it. Where these are used only for statistical purposes you may be able to opt out rather than opt in; we will make that control available.
- Advertising and remarketing cookies — used by us and third parties (including Google) to show relevant ads on other websites to people who have visited our site. These are only set with your consent.
Third-party advertising (Google). www.icangroup.co.uk uses remarketing services to advertise on third-party websites (including Google) to previous visitors to our site. This could mean we advertise to previous visitors who haven’t completed a task on our site, for example using the contact form to make an enquiry. Such ads may appear on the Google search results page, or on a site in the Google Display Network. Third-party vendors, including Google, use cookies to serve ads based on someone’s past visits to our site. You can control how Google advertises to you via Google’s Ad Settings and opt out of interest-based advertising, and Google’s own privacy policy explains how it handles data.
7. International transfers
Some of our providers (such as Google) may process your data outside the UK. Where personal data is transferred outside the UK, we ensure it is protected by an appropriate safeguard recognised under UK law — for example a UK “adequacy” determination for the destination country, or the International Data Transfer Agreement / UK Addendum to the EU Standard Contractual Clauses. You can ask us for more detail on the safeguards we use.
8. How long we keep your data
We keep personal data only for as long as necessary for the purposes set out in this policy, after which it is securely deleted or anonymised. In general:
- Contact-form enquiries: 12 months after your last correspondence with us.
- Cookie and advertising data: retained according to your cookie choices and the relevant provider’s (e.g. Google’s) retention periods.
- Records we must keep by law (e.g. tax): for the period required by law.
9. How we protect your data
We use appropriate technical and organisational measures to protect your personal data. However, no transmission over the internet or method of electronic storage is completely secure, so while we work to protect your data we cannot guarantee its absolute security.
10. Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you.
- Rectification of inaccurate or incomplete data.
- Erasure (“right to be forgotten”) in certain circumstances.
- Restriction of processing in certain circumstances.
- Data portability — to receive certain data in a portable format.
- Object to processing based on legitimate interests, and to direct marketing at any time.
- Withdraw consent at any time where we rely on consent.
- Rights relating to automated decision-making — we do not currently make decisions about you based solely on automated processing that have a legal or similarly significant effect. If this changes, you will be given information about the decision and the ability to contest it, make representations, and obtain human intervention.
To exercise any of these rights, contact us at privacy@icangroup.co.uk. We will respond within one month (this may be extended for complex requests, and we may need to verify your identity first). Exercising your rights is normally free of charge.
11. Complaints
If you are unhappy with how we have handled your personal data, you can complain to us directly at privacy@icangroup.co.uk, and we will acknowledge and investigate your complaint.
You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO):
- Website: ico.org.uk
- Helpline: 0303 123 1113
We would, however, appreciate the chance to address your concerns before you approach the ICO.
12. Children
The Website is intended for a professional and business audience and is not directed at children. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the “Effective date” and version above and, where appropriate, notify you. We encourage you to review this page periodically. The current version always governs our use of your personal data.
